Liaises with: Service Providers (Lift, Garbage, Landscaping, Security, etc.)
Location: Emaar Residence, Nairobi
I. Job Purpose

To oversee the day-to-day operations, maintenance, and administration of
Emaar Residence, ensuring the property is well-managed, secure, clean, and
efficiently run. The Property Manager will serve as the on-site representative,
handling tenant relations, coordinating maintenance activities, managing
property staff, and liaising with contracted service providers, while also
providing front-desk and administrative support.

II. Key Responsibilities
1. Front Office & Reception Management
  • Serve as the first point of contact for residents, visitors, and
    contractors.
  • Handle calls, emails, and in-person inquiries professionally.
  • Maintain visitor logs, access records, and delivery registers.
  • Ensure the reception area is clean, organized, and welcoming.
2. Tenant Relations & Property Administration
  • Maintain updated tenant and lease files.
  • Handle move-in/move-out processes, including inspections and
    documentation.
  • Respond to tenant inquiries, complaints, and feedback in a
    timely and professional manner.
  • Monitor lease compliance and report issues to management.
  • Circulate notices and updates to residents as directed by
    management.
3. Maintenance Oversight & Coordination
  • Receive and record maintenance requests and follow up to
    ensure timely resolution.
  • Supervise on-site maintenance staff and ensure preventive and
    corrective maintenance schedules are followed.
  • Conduct routine inspections of common areas, lighting,
    landscaping, and building systems.
  • Maintain maintenance registers and ensure all work is
    documented and signed off upon completion.
  • Ensure availability of essential utilities and coordinate service
    restoration in case of interruptions.
4. Management of Property Staff
  • Supervise cleaners, maintenance personnel, and support staff
    assigned to the property.
  • Assign duties, monitor performance, and ensure adherence to
    work schedules.
  • Maintain a professional, disciplined, and motivated team that
    upholds property standards.
5. Liaison with Service Providers
  • Coordinate with external contractors such as lift maintenance,
    garbage collection, landscaping, pest control, and security
    service providers.
  • Monitor performance and service quality to ensure compliance
    with contractual agreements.
  • Maintain updated contact lists and service schedules for all
    third-party providers.
  • Report any recurring issues or lapses to management for review
    and action.
6. Inventory & Store Management
  • Maintain store cards and accurate records of materials and
    supplies.
  • Support digitization of stock and maintenance tracking systems.
  • Monitor stock levels, request replenishments, and prevent
    material losses.
7. Reporting & Documentation
  • Daily: Submit incident, maintenance, and visitor reports.
  • Weekly: Submit maintenance activity summary, tenant
    feedback, and staff attendance reports.
  • Monthly: Submit comprehensive property reports covering
    maintenance, occupancy, service provider performance, and
    improvement recommendations.
  • Maintain well-organized filing systems (both hard copy and soft
    copy where applicable).
